Inventory & Finance Administrator

We are looking for a talented Inventory & Finance Administrator to join our team and work in our Waterloo office.

Responsibilities of this role include:

Administration (20% of time)

  • General office administrative duties; ordering supplies, and calling for service requirements
  • Assists with special projects as necessary
  • Follow all Health & Safety rules and protocols
  • Complete data entry tasks/projects 
  • Coordinate travel arrangements

Purchasing and Inventory (30% of time)

  • Receive, unpack & inspect incoming shipments, record/reject damaged items, record shortages, & communicate with Quality Manager & suppliers to rectify damages, shortages, or non-conformities
  • Research potential vendors 
  • Follow with the vendors for the timely delivery of the goods against a PO
  • Maintain updated records of invoices and contracts
  • Follow up with suppliers, as needed, to confirm or change orders
  • Liaise with warehouse staff to ensure all products arrive in good condition
  • Opening accounts with new suppliers as needed 
  • Maintain the equipment's BOM (Bill of Materials) List in Odoo
  • Physically receive, put away and perform goods receipts for all parts in Odoo

Finance (50% of time)

  • Maintaining accounting records on a daily basis
  • Carrying out financial transactions and analysis
  • Processing accounts payable and receivable
  • Performing account reconciliations
  • Maintaining the assets and liabilities of the company
  • Reviewing expenses incurred
  • Maintaining general ledgers
  • Resolving accounting anomalies
  • Aiding Auditors in preparation of the audit process
  • Assisting in the preparation of yearly closing statements

In this role you will bring:

  • BSc in Finance, Accounting, or a related field would be asset
  • An excellent understanding of financial and accounting principles
  • Proficiency in accounting software such as Odoo or similar
  • Knowledge working with Microsoft Office Tools
  • Exceptional numerical skills, good with numbers and calculations
  • Excellent time management and organizational skills
  • Ability to work independently or in a team environment
  • A keen eye for detail
  • A positive attitude
  • Ability to effectively prioritize and multi-task
  • Exceptional verbal and written communication skills
  • Good understanding of supply chain procedures
  • Negotiations skills
  • Ability to work additional hours as needed
